DISCOUNT, TAX, AND PROMOTION MANAGEMENT INSIDE A POS.

DISCOUNT, TAX, AND PROMOTION MANAGEMENT INSIDE A POS.

Three of the most mishandled areas in any POS system are discounts, taxes, and promotions.

Done wrong they create financial losses, compliance risks, and cashier confusion.

Done right they drive sales, reward loyalty, and keep your business on the right side of KRA.

Discounts

Types of discounts a POS must handle:

Item level discount — applied to a single product

✅ Applied by cashier within their approved limit

✅ Requires manager authorisation above cashier limit

Transaction level discount — applied to the total bill

✅ Requires manager or supervisor authorisation

✅ Reason recorded automatically

Customer specific discount — permanent discount linked to a specific customer

✅ Applied automatically when that customer is selected

✅ No cashier intervention required

Discount controls that protect your business:

✅ Maximum discount per role — cashier 5%, supervisor 15%, manager 25%

✅ Every discount logged with amount, reason, cashier, and authoriser

✅ Discount report available daily for management review

✅ System blocks discounts above the user's approved limit automatically

Taxes

VAT at 16% applied to taxable products automatically. Excluded from exempt products — basic food items, medicine. VAT amount shown separately on every receipt and included in eTIMS submission.

Zero rated and exempt products must be configured correctly in the system. Getting this wrong creates KRA compliance problems.

Promotions

A POS that cannot run promotions automatically forces cashiers to apply them manually — creating errors, inconsistencies, and potential for abuse.

Types of promotions a POS must automate:

✅ Percentage discount — 20% off all beverages this weekend

✅ Fixed amount — KSh 50 off any purchase above KSh 500

✅ Buy X Get Y free — buy 2 loaves get 1 free applied automatically

✅ Bundle pricing — combo meal at a combined price

✅ Loyalty point multipliers — double points on all purchases this Saturday

Every promotion must have:

✅ Start and end date and time

✅ Products or categories it applies to

✅ Promotion performance report — how many times used, revenue impact

Does your POS apply promotions automatically — or do cashiers do it manually and inconsistently?

Does your system separate VAT correctly on every receipt?

Can you see how much revenue you gave away in discounts last month and who authorised each one?
